Description of component screens

Overview

The Quercus for Students web portal consists of a login screen and three screens of information which share a common header.

The organisation of these screens is described below. For each screen there is an associated diagram showing the arrangement of the various display components and a table listing the configuration parameters associated with each component.

Configuration parameters associated with Quercus for Students are accessed as follows:

Note: Quercus Mobile shows a subset of the same information, but with a user-experience which is optimised for browsing on mobile devices. If you choose to hide the display of a particular field (such as the work address) in the web portal it will also be hidden in the mobile application.

course banner and information

The course banner is an image file (JPG, GIF or PNG).

Default course banner

The default course banner will be displayed if a specific banner has not been associated with the course.

The default course banner can be uploaded through the QL4S.COURSE_BANNER Edit Parameter screen. You can also delete the graphic image by clicking the Reset button.

Specific course banner

You must use Quercus Classic Interface to upload the banner.

The banner is stored as a course document. You must give it the title

QL4S.COURSE_BANNER

There must be no more than one document with this title associated to the same course

To upload a banner for a course log in to Quercus Classic Interface and go to:

Course Manager > Course Maintenance > Course > Documents

If you upload a specific course banner this will replace the default course banner.

modules

The modules component shows details of all the modules associated with the selected course.

You can show exam results associated with a module by setting:

QL4S.SHOW_EXAM_RESULTS = TRUE

Note: exam results will only be visible if the exam publishing date (module_instance_exam_board.publish_date) is set and equals or is prior to today.

Courses

The courses shown in the Courses component are only those for which the student’s status is Registered or Pre-registered.

The list of courses will be restricted to the academic sessions you specify through the QL4S.LIST_OF_SESSIONS parameter. This takes a comma-separated list of sessions.

QL4S.LIST_OF_SESSIONS = 2007,2008,2009

would mean that only the 2007, 2008 and 2009 courses would be show in Courses.

Quercus 8 allows you to associate notes with financial transactions. You can show or hide these notes.

If you choose to show notes, a Note column appears in components 2–5 above. If a transaction has an associated note, a View Notes link appears in the Note column. Clicking the link opens a pop-up window containing the note.

This will cause an Edit button to appear with the personal details.

If a student clicks the Edit button a data entry screen opens allowing the student to edit the information.

To allow students to change their photos:

This will cause an Upload button to appear next to the photo.

This will cause an Edit button to appear next to the home address.

Note:if you need to edit the profile information of the student log in to Quercus Classic Interface and go to:

Records > Maintain Student

Enabling specific portal functions

To enable or disable a specific portal function you must set the appropriate configuration parameter to the correct value. For example, if you want to allow students to upload photographs, then you must set the QL4S.UPLOAD_STUDENT_PHOTOS parameter to TRUE.

The parameters associated with the Quercus for Students portal functions are in the QL4S group.

To enable or disable a portal function

Note: this procedure assumes you are running Quercus and have access to User Account Management.

1Login to Quercus with administrator permissions and select Control Centre.

2Select the Set-Up tab.

3Select Parameters from the Basic option list.

4From the Group pick list select QL4S.

A list of the QL4S parameters is displayed:

5To set the value of a parameter click the Edit icon .

The Edit Parameter screen opens.

6Set the options to the values required.

In the example shown in the screenshot the QL4S.UPLOAD_STUDENT_PHOTOS parameter has been set to TRUE. This will allow a student to upload a photograph so that it can be associated with his or her record.

Allows you to upload the course banner graphic that will appear alongside the course header information.

This graphic is not specific to an individual course. It will appear against all courses that do not have a more specific banner uploaded.

You can also delete the graphic image by clicking the Reset button.

Note: You can upload a more specific graphic for an individual course through Quercus Classic Interface. To do this go to:

Course Manager > Course Maintenance > Course > Documents

QL4S.HOME_ADDRESS

Set to TRUE to show students home addresses.

QL4S.HOME_ADDRESS_EDITABLE

Set to TRUE to allow students to edit their home addresses.

QL4S.LIST_OF_SESSIONS

Enter the sessions as a comma-separated list, e.g. 2007,2008,2009,2010

Only course instances of the years specified will appear in the Courses panel.

QL4S.LIST_OF_STATUSES

R=registered, P=pre-registered

Other institution-specific statuses may be entered.

Enter statuses as a comma-separated list.

QL4S.MAILING_LABEL

TRUE — show students mailing addresses.

QL4S.MAILING_LABEL_EDITABLE

TRUE — allow students to edit their mailing addresses.

QL4S.PERSONAL_DETAILS_EDITABLE

TRUE — allow students to edit their personal details.

QL4S.SHOW_EXAM_NUMBER

TRUE — allow students to view their exam number.

QL4S.SHOW_EXAM_RESULTS

TRUE — allow students to view their exam results.

Note: exam results will only be visible if module_instance_exam_board.publish_date is set and equals or is prior to today.

QL4S.SHOW_FINANCIAL_DETAILS

TRUE — show the Finance tab.

QL4S.SHOW_FINANCIAL_NOTES

TRUE — show links to financial notes on the Finance tab.

TRUE — show the student’s term address.

QL4S.TERM_ADDRESS_EDITABLE

TRUE — allow students to edit their term addresses.

QL4S.UPLOAD_STUDENT_PHOTOS

TRUE — allow students to change their photograph.

QL4S.VISUAL.LOGO

Allows you to upload a logo to be displayed on the top of the page.

Recommended size: up to 300x80px.

If your logo has a white, rather than a transparent, background you may wish to set the QL4S.VISUAL.WHITE_BANNER parameter to TRUE.

QL4S.VISUAL.PAGE_FOOTER

Page footer text to be displayed at the bottom of each page of the web portal (see MOBILE.PAGE_FOOTER for the mobile equivalent).

This should take the form of a HTML fragment with balanced opening and closing tags, e.g.

QL4S.VISUAL.THEME_COLOUR

The colour of the theme; to be used for page headers, links and colour accents on all pages.

Format: six-digit hex, e.g. #FF764F

QL4S.VISUAL.WHITE_BANNER

If set to True, page header will be displayed with white background (suitable for white-background logos).

If set to False, page header will be displayed with coloured background in your chosen theme colour (suitable for colour or transparent-background logos).

QL4S.WORK_ADDRESS

TRUE — show students’ work addresses.

QL4S.WORK_ADDRESS_EDITABLE

TRUE — allow students to edit their work addresses.

MOBILE.ICON

Icon for the mobile application for phones other than Apple iPhones.

Recommended size: 16 x 16 or 32 x 32 pixels

MOBILE.ICON.IPHONE

Apple iPhone specific icon for the mobile application.

Recommended size: 114 x 114 pixels

MOBILE.LOGO

The logo to be displayed when on the mobile login page.

Recommended size: 230 x 60 pixels

MOBILE.NEW_RESULTS_EXPIRE

The number of days after which an exam result is no longer flagged by a ‘New’ icon.

MOBILE.PAGE_FOOTER

Page footer text to be displayed at the bottom of each mobile page.

This should take the form of a HTML fragment with balanced opening and closing tags, e.g.

MOBILE.THEME_COLOUR

The highlight colour used in the mobile theme. Used for page headers, links and colour accents on all pages.

Allowing students to edit their own records

A student can edit personal information only if the appropriate QL4S parameters (see Parameter reference have been set to TRUE.

Adding links to the Links panel

The Links panel contains a list of Smart Links. An individual Smart Link can appear for all students or can be restricted to students who are associated with a particular LDAP role.

You add or remove links from the Links panel through the Smart Links option on the Quercus Control Centre Set-Up tab.

To edit Smart Links

1Login to Quercus with administrator permissions and select Control Centre.

2Select the Set-Up tab.

3Select Smart Links.

4From the Family list select Student Menu.

Create New Link

Allows you to enter a new Smart Link.

Export to File

Allows you to export existing Smart Links to an XML file.

Import from File

Allows you to enter a new Smart Link.

Global Parameters

Allows you to edit any global parameters associated with Smart Links.

Creating a Smart Link

When you choose the Create New Link option the Create a Smart Link screen opens.

This screen allows you to enter details of the Smart Link.

Actions and the Actions panel

The actions which appear in the Actions panel depend upon which services (such as Build Curriculum or Confirm Place) have been enabled for the courses on which the student is registered. For example, if the student is registered on the Forensic Accounting course and this course has the Confirm Place service enabled, then a Confirm Place link will apear in the Actions panel.

You can change the service-identifying label that appears in the link.

To change the service-identifying text that apppears in the Actions panel

1In Control Centre Set-Up select Service Administration

2Locate the service whose label you wish to change and click the the Edit icon .

3Modify the label and click Save.
