About this guide

This user guide describes the Control Centre in the Quercus 8 product.

The Control Centre allows you to customise Quercus 8 to meet the needs of your organisation. It allows you to select the services you want to deploy and to configure a range of settings and parameters connected with these services.

The guide is aimed at system administrators and staff responsible for the deployment of online services. In particular the guide describes the Premium Vanilla options which are new to Quercus 8. These options allow you to set up and customise online services quickly and efficiently.

The Control Centre in Quercus 8

The Quercus 8 Control Centre has been designed in order to allow the rapid configuration and deployment of online services.

Service templates can be set up using the functions available through the Control Centre’s Services tab.

The template settings can be applied to a course instance to create a service instance

The service instance can be accessed by users via the Internet

The applicant records generated by end-users of the Internet services can be accessed via search facilities available on the Applications tab.

What is a service?

A service consists of a web interface and the associated data-processing functions which allow a visitor to your website to complete a particular interactive task such as:

applying for a course

building a personal curriculum

booking a place at a graduation event

Before a service goes live you need to set it up. You do this by configuring the web interface and by setting values for the various parameters that apply to the service.

Once you have set up the service you need to make it live. When you make a service live you associate a service template (see below) with a particular course instance, or group of instances, and make the resulting services available via the Internet.

Each live implementation of a service for a given course instance creates its own service instance. You can create service instances tailored to the needs of individual courses, or you can use the same settings for all service instances.

A particular configuration of a service can be saved as a service template and then recalled and used as the basis for new service instances. For example you might have separate Apply Online templates for full-time and part-time courses.

Options on the Services tab

The options on the Services tab provide a simple, very fast, flexible way of getting new online services up and running. You can also re-configure existing services.

The services you create can be tailored to the needs of individual faculties and departments and can vary from course to course. You can customise the steps involved, the messages displayed and the appearance of the service.

Options on the Applications tab

The Applications tab provides a search facility which allows you to locate the applicant records generated by end-users of the Internet service.

Once you have located a record you can then access it and process it using the various options available to you in Quercus 8.0.2 Control Centre.

Premium Vanilla and custom services

Both the Services tab and the Applications tab allow you to configure and to access two kinds of services.

Premium Vanilla services, such as Apply Online, Attend Graduation, Book-and-Pay, are services that you set up yourself. When you set up a Premium Vanilla service you choose from a pre‑defined set of generic options. You decide which options you want to switch on or off and how these options will be implemented in the user-interface.

Custom services are services that CampusIT has designed and implemented based on your specific requirements. These services may implement options which are unique to your own business processes and which have been designed to integrate with other in-house applications.

The options that are available in relation to a specific service will depend upon whether the service is a Premium Vanilla or a custom service. Generally speaking there will be more configuration possibilities for Premium Vanilla services. This is because custom services are usually linked to a pre-defined set of business requirements.

If your license permits you may be able to switch a service from the Premium Vanilla to the custom version or vice versa. You do this using the Control Centre > Set Up > Service Administration > Set Up Service > Interface option.

Options on the Set-Up tab

The Set-Up tab gives you access to a range of configuration parameters and other settings.

The options are as follows:

Service Administration

Allows you to change several parameters. Each of the parameters has a global effect on how a specific service operates.

Parameters

Allows you to change parameters that affect the configuration and behaviour of Quercus 8, e.g.

the content of messages that appear in reponse to specific application events

validation patterns for user-entered data such as email addresses, passwords and phone numbers

locations and authentication credentials for supporting applications such as a postcode lookup service

which optional features or functions of the application are turned on

The parameters that are relevant to a Premium Vanilla service can also be accessed through the Settings > Parameters options (see Setting parameter values)

Email Templates

Allows you to set up email templates.

The email templates that are relevant to a Premium Vanilla service can also be accessed through the Settings > Email Templates option, An account of how to set up and maintain email templates is given in Setting up email templates)

User Account Management

Allows you to set up and maintain user account details and access rights.

Smart Links

Allows you to set up and maintain Smart Links.

These Advanced options should be used in conjunction with CampusIT Support.

Note for users upgrading from Quercus 2.x to Quercus 8

A number of options which have now been incorporated into the revised Services functionality (Service Templates, Course Instance Groups, Services Assignments, Status Flow and Service Options) have been removed from the Set-Up tab. In addition the Smart Links function has been moved from the Advanced to the Basic group within the option list. The changes are shown in the table below.
