Going live with a service

The go-live process

Once you have entered the basic settings for a service and set up the course-specific service templates you can make the service live.

The go-live operation associates specific courses with specific templates to create service instances. A service instance is a live implementation of an online service which applies the service definition stored in the template to a course or group of courses.

For any given service you might perform the go-live operation several times: each time associating a different set of courses with a template that has been tuned to the requirements of that particular set of courses.

Note: the link between the service template and a service instance is not a permanent one. When you create the service instance the settings are copied from the service template and, from that point on, the template and the instance are separate. This means that if you subsequently update the template, the instance is not automatically updated to reflect changes to the parent template.

» For more information see Service templates and service instances.

Before making a service live

Before you go live with a service you must decide:

when the service will be available for particular courses

which templates should be associated with which courses

What happens when a service goes live?

When a service goes live:

users will be able to log in at the appropriate URL and use the service

the courses they see will depend upon which courses are selected during the publication process

the screens they see will depend upon the templates that the courses are associated with

the processing of the data gathered by the service will be determined by the settings you specified in the Settings

Going live with a single course or a group of courses

You can go live with a service for a single course or a for a group of courses (see Setting up course groups). The procedures are described below.

To go live with a single course instance

1Click the Live Services button.

2Click the Go Live Course graphic.

3Select a Template from the template list.

A screen opens which shows a summary of the template’s settings followed by a list of courses from the current session.

4If you wish to select a course from another session, choose the session from the list.

5Select the course to which you want to apply the template and click the edit button. You can use the Search box to help locate the course within the list.

A list of the instances of the course opens.

6Check the instances you wish to include and click Apply Template.

7A message is displayed confirming that the template has been applied.

The service instance is now live and will be available until the template end-date (if entered) or until the service is withdrawn.

To go live with a group of courses

To make a service live for a group of courses, you must first set up the group by using the procedures described under Setting up course groups.

1Click the Live Services button.

2Click the Go Live Group of Courses graphic.

3Select a Template from the template list.

A screen opens which shows a summary of the template’s settings followed by a list of course groups.

4Check the groups you wish to include and click Publish.

5The service instance is now live and will be available until the service instance end-date is reached or until the service is withdrawn.

What if I repeat the go live procedure with a course that is already live?

If you create a new service instance when a course is already live, the new service instance replaces the previous instance.

In other words – the latest go-live event for a course will result in the replacement of any existing service instances relating to the same service and course instance.

Editing a live service

Once a course has gone live you can change the steps associated with the service for a specific course. For example, if you had gone live by copying a template containing a survey, but decide you want to remove the survey you can do this by editing the service. Editing allows you to change service steps and rules for a specific course instance.

Editing a live service affects only the selected course instance

Editing a live service affects only the selected service instance. It will not affect other courses set up by copying the template upon which it was based — nor will it change this original template (see Service templates and service instances).

To edit a live service

1Click the Live Services button.

2Click the Edit Live Service graphic.

3Select the course you want to edit and click the edit button. You can use the Search facilities to help locate the course within the list.

4Reconfigure the course using the Edit Steps and Edit Rules options as appropriate.
