Procedures required to support the implementation of the content access models

Purpose of this chapter

This chapter describes the various processes needed to support the implementation of the content access models described in Summary of access models.

Setting up a person as a tutor

You can only enter exam results under the person model of content access control if you are assigned as a tutor to a course or module. In order to be assigned as a tutor to a course you must have the tutor role added to your person profile.

To add the tutor role to a person’s profile

1In the Quercus Classic Interface navigate to the Person Maintenance opening screen (Records > Maintain Person) and click Modify.

A list of persons opens.

2Locate the user you want to associate with an organisation and click the Open Record icon.

The Person Maintenance screen opens.

3Add a new role of Tutor to the person’s record.

4Click the Save icon in the toolbar or press F10 to save the record.

Setting up a person as a tutor for specific courses or modules

If you are using the INSTANCE_PERSON content access model

If you are using the INSTANCE_PERSON content access model you set up a user as a course or module tutor via the Roles option in the Course Instance Maintenance or the Module Instance Maintenance screen. Once the user is set up as a tutor he or she will be able to view the course or module under the INSTANCE_PERSON content access model.

Click the Roles button in the lower right portion of the Course Instance Maintenance screen to add a tutor to a course instance.

Click the Roles button in the lower right portion of the Module Instance Maintenance screen to add a tutor to a module instance.

If you are using the COURSE_PROGRAM_DETAIL content access model

If you are using the COURSE_PROGRAM_DETAIL content access model you set up a user as a module tutor via the Tut option in the Course Structure screen. Once the user is set up as a module tutor he or she will be able to view the course or module under the COURSE_PROGRAM_DETAIL content access model.

Click the Tut button of a module to add a tutor for the specific module instance associated with the course instance.

To set up a user as a course tutor

1In the Quercus Classic Interface navigate to the Course Maintenance opening screen (Course Manager > Course Maintenance) and click View Maintain.

The Course Maintenance screen opens.

2Select a course.

The Course Maintenance screen opens.

Note: setting a tutor at the course level on this screen (in the Tutors list) does NOT propagate the tutor down to the course instances.

3Click the Instance button.

The Course Maintenance screen opens.

4Click the Df (course instance defaults) icon of the course instance for which you want to set up a tutor.

The Course Instance Defaults screen opens.

5Click the Roles button.

The Human Resources screen opens.

6Select Tutor from the Type list.

7Select Tutor from the Type list.

8Click the Add button.

A list of persons who have a role of ‘tutor’ appears.

9Select the user you want to set up a tutor by clicking the check box against the tutor.

The selected row turns orange.

10Click the Add button.

The Human Resources screen re-opens showing the selected user.

11Click the Create button.

A progress dialog appears as the tutor is added to the course instance.

When the processing is finished a confirmation message appears.

12Click OK.

The tutor is now associated with the course instance in question.

If the user logs in and click the COURSES tab he or she will now see the course included in listings if the INSTANCE_PERSON access model is in operation.

To set up a user as a module tutor (when using INSTANCE_PERSON)

Note: this method will assign the user as a tutor for an instance of a module. You should use this method if you are using the INSTANCE_PERSON access model.

1In the Quercus Classic Interface navigate to the Module Maintenance opening screen (Course Manager > Module Maintenance) and click Maintain.

The Module Maintenance screen opens.

2Select a module.

The Module Maintenance screen opens.

Note: setting a tutor at the course level on this screen (in the Tutors list) does NOT propagate the tutor down to the course instances.

3Click the Open Record icon of the module instance to which you want to assign a tutor.

The Module Maintenance screen opens.

4Click the Roles button.

The Human Resources screen opens.

Note: this method will assign the user as a tutor for an instance of a module when the instance is part of a course structure. You should use this method if you are using the COURSE_PROGRAM_DETAIL access model.

1In the Quercus Classic Interface navigate to the Course Maintenance opening screen (Course Manager > Course Maintenance) and click View Maintain.

The Course Maintenance screen opens.

2Select a course.

The Course Maintenance screen opens.

Note: setting a tutor at the course level on this screen (in the Tutors list) does NOT propagate the tutor down to the course instances.

3Click the Instance button.

The Course Maintenance screen opens.

4Click the Open Record icon of the course instance to drill into the course structure.

5Click the Tut icon of the module instance to which you want to assign a tutor.

The Module Tutors screen opens.

5Click a select button and choose a tutor from the Tutors dialog box.

6Click the Save icon in the toolbar or press F10 to save the record.

The tutor is now allocated to the module instance in the context of the selected course instance. Note that the user with not be allocated as a tutor for other course instances that the module instance is asoociated with.

Linking a user and a course with an organisation

If you are running the INSTANCE_ORGANISATION or the INSTANCE_ORGANISATION_NEW access model then, in QuercusPlus, you will see only the course instances associated with the organisation to which you belong. To make use of these models you will need to:

associate users with an organisation

associate courses with an organisation

associate courses with an organisation (if you are using the INSTANCE_ORGANISATION_NEW content access model)

Associating a user with an organisation is the same process whether you are running the INSTANCE_ORGANISATION or the INSTANCE_ORGANISATION_NEW content access model.

The method you use to associate a course with an organisation will depend upon which access model you are running.

if you are running the INSTANCE_ORGANISATION access model you must set up the link through the the Quercus Classic Interface

if you are running the INSTANCE_ORGANISATION_NEW access model you mustset up the link through the the Quercus Plus Interface

The procedures are described below.

To associate a person with an organisation

Note: this is same process whether you are running the INSTANCE_ORGANISATION or the INSTANCE_ORGANISATION_NEW content access models

1In the Quercus Classic Interface navigate to the Person Maintenance opening screen (Records > Maintain Person) and click Modify.

2Locate the user you want to associate with an organisation and click the Open Record icon.

The Person Maintenance screen opens.

3Click the Employment button in the lower right part of the screen.

The Employment Details screen opens.

4Select the organisation to which the person belongs. If the organisation is not set up on the database you can use the Add … button to the right of the select arrow.

5Click the Save icon in the toolbar or press F10 to save the record.

The person is now associated with the organisation.

To associate a course with an organisation (when using INSTANCE_ORGANISATION)

Note: you should use this procedure if you are running the INSTANCE_ORGANISATION content access model. You should not follow this procedure if you are running the INSTANCE_ORGANISATION_NEW content access model.

1In the Quercus Classic Interface navigate to the Course Maintenance opening screen (Course Manager > Course Maintenance) and click View/Maintain.

2Click the Instances button.

3Click the Df (definition) button of the course instance you wish to associate with the organisation.

The Course Instance Defaults screen opens.

4Choose the organisation from the Organisation pick-list.

5Complete the rest of the form.

6Complete the rest of the form.

7Click the Save icon in the toolbar or press F10 to save the record.

To associate a course or a module with an organisation (when using INSTANCE_ORGANISATION_NEW)

Note: you should use this procedure if you are running the INSTANCE_ORGANISATION_NEW content access model. You should not follow this procedure if you are running the INSTANCE_ORGANISATION content access model.

1Click the Organisations Smart Link on the Home page.

2Click Search.

A list of the organisations that have been set up appears.

3To view an organisation’s details click the View icon .

The Organisations detail screen opens.

4Choose ADD COURSE or ADD MODULE from the TASKS menu.

5Select the courses or modules you want to add and click the Add Courses or Add Modules button.

6The courses or modules are added to the organisation and appear in the course or module listings on the Organisation page.

Staff members of the organisation can now view the courses and modules you have added.
