Maintaining details of the student’s advisory panel

Maintaining the panel

You can maintain details of the student’s advisory panel. Panel members can be selected from any user who has an Campus Interact account. You can view the list of panel members by clicking on the Panels sub-tab.

You can communicate with panel members using the Communicate option. This allows you to send SMSes or emails to panel members.

To add a new panel member

1In the Tasks panel click the Assign Panel Member link.

2Use the Search option to select from existing users.

If you want to confine your search to designated panel members click the Panel Members Only option.

See Defining a person as a panel member for information how the filter defines a panel member.

3Select the user you want to add to the panel by clicking the Select button.

4Complete the details of the panel member’s role.

Note: the options available in the Panel Member Type drop-down list can be modified through the Classic Interface. See Defining Panel Member types.

5Click Create.

The selected person is added to the list of panel members.

Defining a person as a panel member

In order for a person to appear in the Panel Members Only list in step 2 of the To add a new panel member procedure (above) they must be assigned the role of panel member.

To assign a person the role of panel member

1In Classic Interface go to Records > Maintain Person and select Modify.

2Use the search option to choose the person to whom you want to assign the panel member role and click the Open Record icon.

3Add the panel member person type to the user’s list of roles (see Defining the panel member person type).

If a user has a role of panel member they will appear in the Panel Members Only list when you are assigning a panel member.

Defining the panel member person type

The filter described in step 3 of To assign a person the role of panel member can restrict the list of people to ‘Panel Members Only’.

In this filter a ‘panel member’ is someone who has a role which corresponds with the person type defined as that of a panel member in the PANEL_MEMBER_PERSON_TYPE parameter (set via Control Panel > Set-up > Parameters).

Although it is logical to map the Panel Member person type to the PANEL_MEMBER role, you can re-map it if necessary. If you re-mapped the role to (say) TUTOR, then the Panel Members Only filter in Assign Panel Members would show only persons with a role of Tutor.

Defining Panel Member types

To add a new panel member type

1Choose DYNAMIC_FORM from the File > Run Forms option in the Classic Interface.

2In the Table Name field type PANEL_MEMBER_TYPE.

Data from the PANEL_MEMBER_TYPE table is displayed.

3Add the new panel member type and associated description.

4Click the Save icon in the toolbar or press F10 to save the record.

The panel member type is now available in the Panel Member Type drop-down list.

Communicating with the student’s advisory panel

The Communicate option allows you to send SMSes or emails to panel members. You can communicate with all panel members or selected individuals.

To communicate with the advisory panel

1Click the Communicate option in the Tasks panel that appears on the right of the screen. This option appears on all the sub-tabs within the Research module.

The Communication screen opens.

2Select the communication type from the Type list and enter the text of your communication in the Body field.

3Click the Show Receipients button to see a list of all members of the advisory panel.

4Select the panel members who should be copied on the communication.

5Click Additional Options if you want to schedule the communication to be sent at a future date rather than immediately.

6Click Send when you are ready to send the communication.

The communication will be sent unless you specified a scheduled date in Additional Options.

If you specified a scheduled date in Additional Options it will be queued for sending on that date.
