Calculating assessment and learning and teaching method percentages

Calculating assessment and learning-method percentages

You can enter assessment and learning-method percentages percentages directly for a course stage as a whole, or you can enter the percentages for the individual modules and then let the application calculate the course-stage level figures (see Two ways to enter assessment methods and learning and teaching methods). This section describes the calculation method based on the entry of the percentages at module-level.

Note: you must enter the module-level percentages

To calculate assessment and learning-method percentages

1Select the stage for which you want to enter KIS data and click the Calculate button.

A list of course instances opens for the stage in question.

To include courses in the KIS calculation check them.

2Click the Next button.

A list of all the modules included in the selected course instances appears.

These modules are sorted firstly by the number of students registered for the module and then by number of credits for the module (in line with the rules described under Calculating the correct percentages).

The list shows the assessment and learning-method percentages for each module if they have been entered or calculated.

These figures will be used to calculate the overall percentages for the course.

3If a module does not have any figures against it, click the Edit button and follow the procedure described under To enter the assessment and learning-method percentages for individual modules to enter the figures.

4Once all the required assessment and learning-method percentages are available, select the most popular modules until you have reached 120 credits (if you cannot hit this figure exactly, stop adding modules as soon as you have exceeded the figure).

5Click the Calculate button.button at the foot of the screen.

The system performs the calculation based upon the methods described in Calculating the correct percentages. If you have made a valid selection of 120 credits-worth of modules (or the nearest higher figure) you will receive a confirmation message ‘The course stage assessment, learning and teaching methods have been successfully calculated.’

If you have not selected 120 credits-worth of modules or have selected too many modules you will receive an error message and the percentages will not be calculated.

Locking a calculated record

There may be circumstances when you wish to lock the percentages to prevent further updating. You would typically do this if you have manually adjusted a calculated value and you do not want your adjustment overwriting if you run a bulk calculation in the future (see Using the Calculate Methods option for the bulk calculation of assessment and teaching and learning methods). To lock the percentages, check the Record Locked box on the Course tab.

If a record has been locked, lock icons appear against the individual stage records and the stage-level module records cannot be updated.

Editing the calculated figures

If you wish to edit the calculated figures you can do so providing the figures are unlocked.

To edit the calculated figures

1On the Course Stage tab, click the Edit button of the course stage you wish to edit.

The Course Stage (Update) screen opens allowing you to edit the percentages.

2Click Save when you have edited the percentages as required.

Entering assessment methods percentages and learning and teaching percentages for individual modules

Before Quercus KIS application can calculate the overall KIS assessment and learning-method percentages for a course you must enter the assessment and learning-method percentages for the representative constituent modules of a course. If the individual modules have a course programme assessment scheme set up then the system can populate these fields automatically if you wish.

To enter the assessment and learning-method percentages for individual modules

1Click the Modules tab in the top bar.

2Locate the modules for which you wish to enter assessment and learning-method percentages.

3Click the KIS methods button against a module and enter the percentages.

Note: You can use the Populate Methods link in the Tasks area to automatically populate the Assessment Methods figures based upon the course programme assessment scheme.

4Click Save.

You receive a confirmation message and the KIS Progress meter is updated.

Automatically populating the Assessment Methods fields

You can automatically populate the Assessment Methods fields if a module has been associated with one or more assessments via Classic Interface > Module Instance > Assessment. An overview of these relationships is shown in the illustration below.

In addition, for the above to work, the assessments must be instances of an assessment type which has been mapped to a KIS Assessment Method via the TRANSLATE_DEFINITION form. In the example below the EXAM and PROJECT assessments from the preceding example are instances of the EXAM and CONT_ASSESS assessment types. These assessment types have been mapped to the KIS Assessment Methods of PRACTICAL_EXAM and WRITTEN_EXAM, allowing Quercus to populate the Assessment Method fields in the previous example.

Note that the TRANSLATE_DEFINITION form (the lower form in the example above) is opened via the File > Run Form option.

To set up assessment methods for a module in the Classic Interface

1In the Classic Interface select the module (Course Manager > Module Maintenance > Maintain) for which you wish to set up the assessment methods and click the Open Record icon.

2Select the module instance for which you wish to set up the assessment methods and click the Open Record icon.

The Module Maintenance screen opens.

3Click the Assessment button.

The Course Program Assessment screen opens.

4Select the appropriate assessment methods from the Assessment drop-down list and enter the assessments’ weights, marks and pass marks (note, however that the it is only the weight value which is used in the KIS Methods calculation).

5Click Previous and confirm you want to save the changes.

Assessment mapping methods in the Classic Interface

In order for KIS to calculate assessment methods your various ‘internal’ assessment methods (such as ‘Exam’ or ‘Course Work 1’ in the examples above) must have been mapped to the three valid KIS assessment methods (written, practical and coursework).

In order to understand the mapping process be aware that the internal assessment methods (e.g. ‘Course Work 1’) are instances of particular assessment types. It is the assessment types that are mapped to the KIS assessment methods. So, for example:

if Course Work 1, Course Work 2 and Dissertation are all instances of the Coursework assessment type

AND

the Coursework assessment type is mapped to KIS coursework assessment method

THEN

then Course Work 1, Course Work 2 and Dissertation will all be considered to belong to the KIS coursework assessment method

You can check which methods are instances of which types by choosing Course Maintenance > Static Data Maintenance > Assessment Types.

To set up assessment mapping methods in the Classic Interface

You do this through the TRANSLATE_DEFINITION form.

1In the Classic Interface select File > Run Form.

Press F9 and then select the TRANSLATE_DEFINITION form.

In the TRANSLATE_DEFINITION form you can map your various ‘internal’ Assessment Types to the appropriate KIS assessment methods. To do this use the following entries:

To populate a module with automatically calculated values

Once a module has been associated with assessment methods (see To set up assessment methods for a module in the Classic Interface) you can use the weightings associated with the methods to automatically populate the Assessment Methods values in the KIS Methods screen. To do this:

1In the KIS modules tab, use the search options to locate the module.

2Click the KIS Methods button.

The KIS Methods screen opens.

3In the Tasks area click the Populate Methods link.

The Assessment Methods will be populated from the values entered in the Course Program Assessment screen.

Note: if the total weightings of the assessment methods do not add up to 100% the highest value will be adjusted upwards or downwards:

Using the Calculate Methods option for the bulk calculation of assessment and teaching and learning methods

You can automatically re-calculate the overall assessment methods percentages for ALL unlocked courses for which modules have been selected. You do this by running the Calculate Methods option from the Tasks panel of the Courses tab. You would normally use this option if the method percentages for some modules had changed. This would save you the bother of having to go into each course in turn and re-running the calculation on a course by course basis.
